Referrals within Program Placements

Under program placements, organizations can now be listed as referrals.

This data surrounding referrals can then be easily reported on as needed using the data source of “client: program placements.”

There are three main steps to setting up referrals under program placements.   These include:

  • Adding/editing a company to set up for referrals
  • Adding the referral to a program placement
  • Setting up the picklist to support the referral status that matches your needs

Below are steps outlining each of these areas.

Adding a Company to Setup for Referrals #

To add a new company for referrals, click on the “contact manager” tab.

Choose “add a new company.”

The two fields necessary for referrals will be “company name” and “programs offered.”

Fill in any additional information and click “save.”

Editing a Company to Set Up for Referrals #

If you would like to edit a current company to allow for referrals, click on the “contact manager” tab.

Search and select the name of the company.

Use the “edit” button as shown below.

Edit and select save.

Adding a Referral to a Program Placement #

Choose the client for which the program placement is being created, and choose “program placement” under their main menu.

Choose “new program placement.”

Fill in the necessary information. For more information on program placements, see additional documentation here.

*Note* the referred to drop-down will not appear until after selecting a program FIRST.

Fill in the necessary referral fields.

Field descriptions: #
  • Referred To: Program or person that the referral program placement is associated with.
  • Referral Date: Date of referral
  • Referral Status: Status of referral (multiple options can be chosen). Administrators have the ability to add to these options through the picklist “Program referral status.”
  • Referral Decision date: Date when the decision was made for the referral.
  • Referral Recipients: Recipient can be either the youth or any of their contacts (ie if a parent is referred to counseling.).
  • Referral Notes: Any notes associated with the referral.

Setting up Picklist #

To access the “program referral status” picklist item, click on the “administration” tab followed by “picklist admin.”

Search and choose “program referral status.”

Select the green “create a new program referral status.”

Fill in the necessary information and click “save.”
