Distributing Medication

YouthCenter allows full tracking of intake, count, and distribution of medications both on-demand and on a schedule. To distribute a medication, you must first select a client through either the Search application under the Case Manager application or by using the Search Clients search bar in the top right of the screen.

Searching for clients can be done through the top right search bar or by opening Case Manager in the left nav and selecting search.

Distributing a medication on demand #

Once you have selected a client, expand the Medical menu item and select Medication.

Select the + New Action button that is to the right of Medication Actions header

From the distribution screen, fill out the desired fields, obtain signatures if desired or required, and press save. The system will automatically adjust counts based on your actions.

Who owns the medication? – Toggles the medication list to either the client’s medications or the facilities medications

Medication – The medication name. If you don’t see a medication you expect, you may need to add it to the client’s medications or add it to the facility’s medication list.

Action – Indicates the type of distribution. These options can be adjusted by your administrator through the picklist admin.

Action Date – The date and time of the distribution.

Quantity – The quantity of the med distributed.

Blood Sugar – A dedicated field for blood sugar results if needed

Notes – Free form area for taking notes about the distribution

Client Signature – Signature input field. Can use a tablet, phone, computer, or signature pad to obtain a signature.

Staff Signature – Signature input field. Can use a tablet, phone, computer, or signature pad to obtain a signature.

Distributing a scheduled medication #

From the client’s medication page #

Once a medication schedule has been set up, the system will set up reoccurring reminders for the duration of the schedule. From the Medication application, simply scroll down to the Medication Schedules section. Note that recent already dispensed medications show in gray, while upcoming medications will have a green distribute button to the right of them.

Select the Distribute button to the right of the medication that is being dispensed. A basic distribution form will open, with an option to go to an advanced view if you need to collect signatures or use other features like tagging or notifications.

See the field information above for details on the fields. Once you have filled out the fields, press Save. The system will mark that distribution as complete and remove any reminders or warnings for that distribution instance.

From the medication schedules widget #

You can set up and use the medication schedule widget on your dashboard to get a preview of upcoming and overdue medications that should be dispensed. To dispense medication from the medications widget you must have the Action Button checkbox selected under the “Which data should be shown?” section.

With the Action Button turned on, you can simply press the distribute button next to any listed scheduled medication to show the quick medication distribution window. If you need to obtain signatures or modify who is notified, you can switch to the advanced medication distribution from the quick distribution window.
