# Using Personal Possession Tracking – Facility/Residential

Keep track of resident’s property (type of item, where it’s stored, when it’s checked out) with Personal Possessions. You can require signatures to sign out items, tag items with QR codes, and even add personal possession events to your [Audit Checklist](https://docs.youthcenter.net/docs/using-the-client-audit-checklist/).

This article covers how to use Personal Possessions. If you need to know how an Admin user sets up and manages the Personal Possessions sub-application, check out the linked article [HERE](https://docs.youthcenter.net/docs/using-personal-possession-tracking/).

### Personal Possessions Navigation

You can get to Personal Possessions from the Case Manager or the Facility Manager.

Starting with the selected client in Case Manager, expand Facility:

![Client Summary page for a client in detention, with the Case Manager and Facility items in the left navigation each inside a red box graphic](https://docs.youthcenter.net/wp-content/uploads/2026/10/image-edited-1-1024x517.png)

Inside Facility, expand Personal Possessions:

![Personal Possessions page for a client with an empty Checked In section and ten released items in the Checked Out list, with the Facility and Personal Poss. items in the left navigation each inside a red box graphic](https://docs.youthcenter.net/wp-content/uploads/2026/10/image-1-1-1024x634.png)

You’re ready to [start adding items](https://docs.youthcenter.net/docs/using-personal-possession-tracking-facility-residential/#1-toc-title).

To find a client from the Facility Manager instead, click into Facility Manager and choose Personal Possessions:

![Personal Possessions page with a Search Clients box and a Scan QR Code button, with red box graphics around Facility Manager in the left menu and the Search for a client field](https://docs.youthcenter.net/wp-content/uploads/2025/06/image-110-1024x445.png)

Search for the client and click into the correct file:

![Personal Possessions client search results for a typed first name showing two matching clients, one with a photo and a Detention placement and one without a photo](https://docs.youthcenter.net/wp-content/uploads/2025/06/image-111-1024x427.png)

This will link you over to the Personal Possessions (nested under Case Manager) for that client. If this client is not in a Facility Placement at the moment, you’ll see a message that allows you to start a Facility Placement Intake:

![Yellow notice reading Client does not currently have a facility placement. Click here to start one](https://docs.youthcenter.net/wp-content/uploads/2025/06/image-112.png)

You’ll be able to see existing items in the Checked In, Checked Out, and Transaction History sections for any clients who are currently in a Facility Placement.

![Personal Possessions page for a client listing checked-in items such as boots, shirt, pants, coat, money, bracelet and cellphone, with an empty Checked Out section, Transaction History, and Print Client QR Code, Scan Items, Add Items and Edit Items buttons](https://docs.youthcenter.net/wp-content/uploads/2025/06/image-115-1024x614.png)

### Adding Items to Personal Possessions

To add items to their inventory, click the green Add Items button:

![Personal Possessions page for a client listing checked-in items, with a red box graphic around the Add Items button](https://docs.youthcenter.net/wp-content/uploads/2025/06/image-114-1024x614.png)

Fill out all fields that are required:

- Type: what kind of item is it? (see the [Admin article](https://docs.youthcenter.net/docs/using-personal-possession-tracking/#1-toc-title) if you need to customize this list)
- Description: how can you tell the item apart from others?
- Status: is the item Checked In, Checked Out, Released, or Missing?
- Location: where is the item stored?

![Check-In and Add Possessions form with two item entries, a brush and a belt, each showing description, a Checked In status and a location, with Set all Statuses to and Set all Locations to buttons and an Add an Item button](https://docs.youthcenter.net/wp-content/uploads/2025/06/image-126-1024x617.png)

Use the + Add an Item button to create as many new items as you need. For bulk editing, use the green buttons at the top of the listing to set statuses for all items listed or set locations of all items.

#### Adding Items – Signatures

Use the signature fields to have staff and/or the resident sign off on possessions. YouthCenter will log the username of the staff who did the inventory. Signatures can be taken using a mouse, touchscreen, or with a connected hardware device such as a Topaz signature pad.

![Signatures section with signed Client Signature and Staff Signature boxes. The Client/Guardian/Other box has a name and a designation of Grandmother with a greyed out x button, implying that you can choose from existing contacts. The Staff Signed By field has a search bar ready to take at least 3 characters to find the staff member. Buttons to Clear or Sign appear under the filled in signature field. The Sign button appears under the yet to be filled signature field. The options outside of these fields on the bottom are Cancel, Save, and Save and Print QR Codes.](https://docs.youthcenter.net/wp-content/uploads/2026/10/image-6-1-1024x507.png)

#### Adding Items – Saving or Print QR Codes

Once you’ve added the items, the options are to Save or Save and Print QR Codes as seen in the screenshot above. Save will take you back into the Personal Possessions area with the newly-saved items.

Print QR Codes will present a unique, scannable code for each item. You can use this to tag the location (locker, bag, tote, etc.) for every item that it contains. The code allows you to scan the item later for checkout or other actions. See [here](https://docs.youthcenter.net/docs/using-personal-possession-tracking-facility-residential/#6-toc-title) for details on allowing your camera access to YouthCenter. Clicking Print from here will open up your system dialogue so you can choose Print or Save settings:

You’ll see an inventory of the youth’s Personal Possessions and transactions history after Saving or Printing:

![Personal Possessions page for a client with checked-in items, an empty Checked Out section, and a Transaction History entry showing client and staff signatures](https://docs.youthcenter.net/wp-content/uploads/2026/10/image-4-1-1024x908.png)

### **Checking Items Out**

Check items out if they’re being temporarily given to the client or a third party. Get to Personal Possessions directly from the Case Manager or use Facility Manager to jump there (see [above](https://docs.youthcenter.net/docs/using-personal-possession-tracking-facility-residential/#0-toc-title)).

If your facility uses QR codes, you can also use the Scan QR Code button in Facility Manager to jump to the client’s inventory:

![Personal Possessions page with a Scan QR Code button and Search Clients box, with red box graphics around the Scan QR Code button, the search field, and Facility Manager and Personal Possessions in the left menu](https://docs.youthcenter.net/wp-content/uploads/2025/06/image-117-1024x498.png)

Clicking the Scan button will activate the camera so you can capture a QR Code from the client’s inventory. If you need help activating the camera, see [this section](https://docs.youthcenter.net/docs/using-personal-possession-tracking-facility-residential/#6-toc-title):

![Scan QR code window over the Personal Possessions page showing a camera view of a printed QR code label, with a Camera dropdown and Stop Scan button](https://www.youthcenter.net/wp-content/uploads/2024/07/photo-26-4.png)

Scanning the QR code with the camera will link over to the youth’s inventory with the scanned item already selected. To select more items, choose the Scan Items button here (for more QR codes) or select them manually:

![Personal Possessions page for a client with the coat, money, bracelet and cellphone rows checked in the Checked In list and an empty Checked Out section](https://docs.youthcenter.net/wp-content/uploads/2025/06/image-118-1024x541.png)

Once all desired items are selected, click the white “Edit Items” button in the upper right corner:

![Personal Possessions page for a client with several checked-in items selected, with a red box graphic around the Edit Items button](https://docs.youthcenter.net/wp-content/uploads/2025/06/image-119-1024x694.png)

This brings you to the Edit screen where you can apply changes to all the selected Possessions at once. To check out the items, click Set All Statuses to and select Checked Out:

![Edit Possessions page with the Set all Statuses to menu open showing Checked In, Checked Out, Missing and Released, with a red box graphic around the menu button](https://docs.youthcenter.net/wp-content/uploads/2025/06/image-120-1024x717.png)

Scroll down to have the client and/or staff sign off on this transaction, then click Save to apply changes:

![Signatures section at the bottom of the Edit Possessions form showing signed client or guardian and staff signature boxes, with Clear, Sign, Cancel, Save, and Save and Print QR Codes buttons](https://docs.youthcenter.net/wp-content/uploads/2025/06/image-121-1024x607.png)

The new transaction history and new status of the chosen items will show up immediately:

### **Release Items from the Facility**

Release items when the resident is finished with their stay and is getting discharged from the facility. Use the Item checkbox to select all items in the inventory. Be sure to click this for both Checked In and Checked Out items to capture everything. Next, click the Edit Items button:

![Personal Possessions page for a client with the select-all checkboxes checked in the Checked In and Checked Out lists, with red box graphics around both checkboxes and the Edit Items button](https://docs.youthcenter.net/wp-content/uploads/2025/06/image-123-1024x594.png)

Use the Set all Statuses to drop-down and choose Released:

![Edit Possessions page with the Set all Statuses to menu open and Released highlighted, with a red box graphic around the menu](https://docs.youthcenter.net/wp-content/uploads/2025/06/image-124-1024x596.png)

Scroll down to have the client and/or staff sign off on this transaction, then click Save to apply changes:

The new transaction history and new status of the chosen items will show up immediately:

### **Allowing Camera Access for QR Codes**

You can use YouthCenter to generate a QR code for a client’s inventory of personal possessions. Print out and apply this QR code to a wristband (for the client to wear) or label (to attach to a bin/locker). When you scan the QR code later, you’ll be linked back to the full inventory on YouthCenter so you can easily confirm that all items are accounted for.

Your camera needs to allow access in YouthCenter to use this feature. If your camera is not currently allowed, you’ll see this No Camera error message:

![Personal Possessions page with a Place QR code in the center of the screen window open and a red No Camera message saying camera access was denied and must be changed in browser settings](https://docs.youthcenter.net/wp-content/uploads/2025/06/image-102-1024x537.png)

Allow camera access using your browser’s settings. This information is subject to change rapidly and some browsers may be different than what you see here.

#### Allowing Camera Access – Chrome
